How to Craft an ATS CV

In today’s job market, many companies use Applicant Tracking Systems (ATS) to screen CVs before they reach a human recruiter. An ATS-friendly CV increases your chances of passing this initial screening and getting noticed by hiring managers. Here’s how to optimize your CV for ATS while maintaining a professional and human-readable format.

1. Use Standard Formatting

Why It Matters:

ATS systems may struggle to interpret non-standard layouts or formatting, potentially causing your CV to be rejected.

What to Do:

  • Headers: Use clear section headers like “Work Experience,” “Education,” “Skills.”
  • Fonts: Stick to professional fonts such as Arial, Calibri, or Times New Roman. Avoid decorative or overly stylized fonts.
  • Bullet Points: Use simple, round bullet points (•) for lists instead of symbols like arrows or stars.

2. Tailor Your CV with Keywords

Why It Matters:

ATS scans for specific keywords related to the job description. If these keywords are missing, your CV may not make it to the next stage.

What to Do:

  • Mirror the Job Description: Incorporate language and terms from the job posting, especially those related to required skills and qualifications.
  • Focus on Hard Skills: Include specific skills like “Python,” “SEO,” “project management,” or others mentioned in the job ad.
  • Action Verbs: Start bullet points with verbs like “Managed,” “Developed,” or “Implemented” to describe your responsibilities.

3. Use a Simple Layout

Why It Matters:

Complex layouts with graphics, charts, or columns can confuse ATS software.

What to Do:

  • Avoid Graphics: Skip images, charts, and tables.
  • Single-Column Format: Stick to a clean, single-column layout for easy readability.
  • No Fancy Formatting: Avoid text boxes, headers, or footers that might not be read by ATS.

4. Submit the Correct File Type

Why It Matters:

The file format you choose can affect how the ATS interprets your CV.

What to Do:

  • Use PDF or .docx: Submit your CV as a PDF unless the job posting specifies another format. A PDF preserves formatting across devices.
  • Follow Instructions: Always check the employer’s application instructions for specific file requirements.

5. Optimize Contact Information

Why It Matters:

Your contact details must be clear and accessible for both ATS and recruiters.

What to Do:

  • Include: Name, phone number, email, and LinkedIn profile.
  • Exclude: Your full address unless requested. A city and state (or country) are sufficient.
  • Use a professional email address, e.g., firstname.lastname@gmail.com.

6. Format Work Experience Effectively

Why It Matters:

A clear and structured work experience section helps ATS and recruiters identify your qualifications quickly.

What to Do:

  • Format:
    Job Title
    Company Name | City, Country
    Start Date – End Date (e.g., Jan 2020 – Dec 2023)
  • Use Action Verbs: Start descriptions with verbs like “Led,” “Streamlined,” or “Developed.”
  • Quantify Achievements: Include metrics like “Increased sales by 20%” or “Managed a team of 15.”

7. Follow Standard Education Formatting

Why It Matters:

Consistent formatting ensures that the ATS recognizes your educational qualifications.

What to Do:

  • Format:
    Degree Name
    Institution Name | Location
    Graduation Year
  • Avoid including high school information if you’ve attended college or university.

8. Highlight Relevant Skills

Why It Matters:

The skills section is often a key focus for ATS.

What to Do:

  • List Skills by Relevance: Group them into categories if necessary, e.g., “Technical Skills” and “Soft Skills.”
  • Include in-demand skills from the job description.
  • Example:
    • Technical Skills: Python, SQL, SEO
    • Soft Skills: Leadership, Communication, Problem-Solving

9. Avoid ATS Pitfalls

Why It Matters:

Certain elements can confuse ATS or result in missed information.

What to Avoid:

  • Headers and Footers: Some ATS systems skip these entirely, so don’t place key details there.
  • Abbreviations Without Explanation: Spell out terms at least once (e.g., “Search Engine Optimization (SEO)”).
  • Irrelevant Content: Avoid personal details like marital status, date of birth, or hobbies unless explicitly requested.

10. Proofread for Spelling and Grammar

Why It Matters:

While ATS focuses on keywords, errors can still negatively impact the readability and professionalism of your CV.

What to Do:

  • Use tools like Grammarly to catch spelling or grammatical mistakes.
  • Have someone else review your CV to ensure it’s polished and error-free.

11. Customize for Each Job Application

Why It Matters:

A one-size-fits-all CV reduces your chances of passing ATS filters.

What to Do:

  • Tailor each CV to the specific job description.
  • Emphasize the most relevant skills, experiences, and keywords for the role.

12. Test Your CV with ATS Simulators

Why It Matters:

ATS simulators let you see how your CV might perform in an actual ATS screening.

What to Do:

  • Use online tools to test your CV and identify areas for improvement.
  • Adjust formatting, keywords, or sections as needed to increase compatibility.

13. Remove Irrelevant or Outdated Information

Why It Matters:

Irrelevant content clutters your CV and can distract from your qualifications.

What to Remove:

  • Personal Details: Marital status, date of birth, religion, or ID numbers.
  • Inappropriate Email Addresses: Use a professional email address.
  • Outdated Education: High school details if you’ve attended higher education.
  • Irrelevant Work Experience: Exclude jobs unrelated to the position unless they demonstrate transferable skills.

Balancing ATS Optimization and Human Appeal

While optimizing your CV for ATS is essential, it should still be clear and appealing to human readers. Remember, the ultimate decision is made by a person. Strive for a balance between ATS compatibility and a professional, engaging presentation.
