How to Write An Email Note

When you’re applying for a job via email, your email note acts as a cover message for your attached CV and cover letter. It’s essential to make a good impression with this note, as it’s the first piece of communication the hiring manager will see from you. Below are the elements you should include in your email note, followed by an example for a waiter position:

  1. Subject Line: Be clear and direct, typically including your name and the position you’re applying for.
  2. Salutation: If you know the hiring manager’s name, address them directly (e.g., “Dear Mr. Ndugu”). If not, use a general greeting such as “Dear Hiring Manager”.
  3. Introduction: Briefly introduce yourself and state the position you are applying for.
  4. Purpose: Mention that your CV and cover letter are attached, and indicate your interest in the position.
  5. Body: Give a brief overview of your qualifications that make you a good fit for the job. This should complement, not repeat, your cover letter.
  6. Closing: Express appreciation for the opportunity to apply and the reader’s consideration. Include a statement about looking forward to the possibility of discussing the position.
  7. Signature: End with your name and contact information.

Example Email Note for a Waiter Position:

Subject: Application for Waiter Position – Simon Bahati

Dear Hiring Manager,

I hope this email finds you well. My name is Simon Bahati, and I am writing to apply for the Waiter position as advertised on your restaurant’s website. I have attached my CV and cover letter for your consideration.
