The Mkulima OnBoard platform is inviting applications for the position of Field Enumerator, a vital role in supporting the registration of sugarcane growers ahead of the Growers’ Elections. Applicants are required to complete an online application form accessible through the official platform. The form gathers critical details including personal information, qualifications, experience, and documentation.

To help you submit a successful application, this guide breaks down the form step by step, highlighting what is expected at each stage and how to avoid common mistakes that could hinder your chances of being shortlisted.

Step 1: Gather the Required Information and Documents

Before starting the form, prepare the following:

  • A scanned copy of your National ID (PDF format, max 8MB)
  • A scanned copy of your highest academic certificate (PDF format, max 8MB)
  • A recent passport-size photo (JPG or PNG, max 8MB)
  • The Android version of your phone (must be Android 9 or above)
  • Details about your field experience, if any
  • Your email address, phone number, and residential details (County, Sub-County, Ward)

Having this information ready ensures a smooth and uninterrupted application process.


Step 2: Fill in Personal and Contact Information

The top section of the form requires you to provide accurate personal details:

  • First Name and Last Name
  • National ID Number
  • Date of Birth
  • Gender
  • Phone Number
  • Email Address

Ensure your contact details are correct and active. These will be used for communication during the shortlisting process. Avoid using another person’s email or phone number. A simple typographical error could prevent you from receiving vital updates.


Step 3: Select Your Geographic Location

Accurate location details are critical because enumerators are deployed based on local familiarity. You are required to select:

  • Sub-County
  • Ward

Use the drop-down lists to select your correct administrative area of residence. It is recommended that applicants reside in or near the regions where they wish to work. Familiarity with local terrain, community, and road networks is an advantage.


Step 4: Provide Education Background

Next, select your:

  • Highest Level of Education
  • Field of Study

The minimum qualification is a KCSE certificate with a C- or higher. However, holding a Diploma or Degree gives you a competitive edge. Be honest and ensure the academic certificate you upload later in the form corresponds with what you indicate here.

Step 5: Declare Field Data Collection Experience

If you have experience with community fieldwork, surveys, or registration drives, check the box: “I Have Field Data Collection Experience”.

You’ll then be required to describe your experience briefly (maximum 100 words). Focus on:

  • The name of the organization or project
  • Type of data collected or task handled
  • Tools or technology used
  • The duration of your involvement

Example:

I worked with the Ministry of Health during a vaccination data entry exercise. I collected household data and updated the central registry using a mobile data collection app. My duties involved community engagement, verifying ID documents, and daily reporting.

If you don’t have any prior experience, you may leave the box unchecked. While experience is an added advantage, it is not a strict requirement.


Step 6: Confirm Android Device Ownership and Digital Skills

Tick the box that says: “I Own an Android Smart Device (Phone/Tablet)”.

Enter the Android version of your device. Your phone must have Android 9 or above. You can check this by going to Settings > About Phone > Software Information on your device.

Next, choose your Computer Literacy Level from the dropdown menu. Select the option that best describes your ability to use digital tools, mobile apps, and other tech platforms. Be honest—digital proficiency is key to performing enumerator duties efficiently.


Step 7: Upload Supporting Documents

Three uploads are required:

  1. Scanned Copy of Your ID (PDF)
    • Must be clear and legible.
    • Include both sides of your ID if possible.
  2. Scanned Copy of Your Highest Academic Qualification (PDF)
    • Ensure the name and grade details are clearly visible.
  3. Passport-Sized Photo (Image in JPG/PNG format)
    • Must be professional, recently taken, and clear.

File size for each upload must not exceed 8MB. If your file is too large, use free online tools to reduce its size without compromising quality. Ensure the documents are correctly labeled and not corrupted.


Step 8: Final Confirmation and Submission

At the end of the form, there is a declaration:

“I confirm that the information I have provided is true and complete, and I agree to uphold integrity, neutrality and confidentiality if selected.”

Check the box to affirm your commitment. This declaration is essential—it underscores the ethical standards expected of every enumerator.

Once you’ve reviewed all entries and uploaded the correct documents, click the “Submit Your Details” button.


Step 9: What to Expect After Submission

After submission, a confirmation message may appear on the screen or be sent to your email.

Shortlisted applicants will undergo:

  • Oral interviews (to assess communication and community understanding)
  • Practical exercises (demonstrating device use and registration procedure)
  • Virtual training sessions (covering field ethics, data security, and operational procedures)

Stay alert and responsive to follow-up communication. Monitor your email and phone regularly, and be prepared to act quickly when called upon.


Common Mistakes to Avoid

  • Submitting incorrect or blurred documents
  • Providing inconsistent details (e.g., wrong ID number vs. uploaded copy)
  • Leaving required fields blank
  • Using an inactive phone number or email address
  • Uploading an outdated Android version (below 9)
