Before you send the job application email, it’s a good idea to check it first! Sometimes a small mistake in an email can have a big impact
Don’t worry, today I want to share a checklist to make sure your email looks professional.
✅ Use a professional email address
Don’t use weird email addresses like “partyanimal123@gmail.com” or “caromsupa123@gmail.com“. Make sure the email address you use is professional, like Rowedie.Otieno@gmail.com.
✅ Make Sure the Email Subject Is Clear
The subject of the email is the first thing an employer will see, so make sure it’s clear and concise. Examples:
• Job Application: Account Executive Position at ABC Company
• Follow Up Application: Graphic Designer Position
• Start with the right greeting. Examples:
👉 Sir/Mrs. [Recipient’s Name],
If you don’t know the name, use “Dear Hiring Manager/HR Manager” (no problem)
✅ Write Email Content That Is Straight To The Point
You don’t have to go to length, but make sure you are clear about what you want to say! Just highlight important things such as:
• Who are you,
• What you apply for,
• What you offer (qualifications, experience),
👉 A brief example:
Dear Hiring Manager,
I’m [Your Name], would like to apply for the position of [Job Name] advertised on [Ad Platform]. With my experience in [Key Qualifiers], I am confident of making a positive contribution to your team.
I attach my resume and portfolio for reference. Please be able to talk further in the interview session.

✅ Check Spelling and Grammar!
Don’t underestimate it! Make sure to check your email first near Microsoft Word or Grammarly to make sure there are no spelling and grammatical errors.
✅ Attach All Important Documents
Make sure the documents that need to be attached are present, such as a resume & cover letter (if any). Make sure to send in PDF format.
✅ Professional Cover
End the email in a good and professional way, such as:
Thank you for your attention.

[Phone Number]
[Email Address]
✅ Check Before Sending
Send an email to yourself first to review the format and attachments. Sometimes we overlook, so it’s better to check twice.
✅ Post Office Hours
Avoid sending emails outside of office hours (morning to evening). People are more likely to look at emails during work hours.
✅ Recipient Name and Company Correct!
A simple thing but often the jobseeker overlooks! Make sure the recipient’s name and company name are correct so that it doesn’t look like a joke.
